Certification Procedure based on ISO 9001, ISO 14001, OHSAS 18001, ISO 22000 and ISO 50001

Certification procedure of management system based on standards: ISO 9001:2008, ISO 14001:2004, OHSAS 18001:2007, ISO 22000:2005, ISO 50001:2011 or combination (conjunction) of these standards are devided in 3 stages:

1.Audit of the 1st stage and assessment of documentation provided by the management system (MS).

2.Audit of the 2nd stage

3.Issuance of certificates and supervision

Auditors team shall be approved by the Head of Certification body or an authorized person (QM-manager) in accordance with the presence of necessary competencies, including accreditation by relevant industry codes of EA.

1. Audit of the 1st stage and assessment of documentation provided by the management system

Certification audit starts with an audit of the first stage and inspection of documentation provided by the management system (manual, if necessary methodological and operating instructions).

The customer shall submit management system documentation in its current revision to audit manager within a reasonable time prior to certification audit. Audit manager shall evaluate management system documents for compliance with the specific requirements of the standard.

In the process of audit of the 1st stage, analysis of management system documentation can be partially done on-site.

Prior to audit of the 1st stage, the customer shall receive a plan for audit of the first stage. Audit content shall be approved by the Customer prior to the audit. The goal of audit of the first step is to: check the management system documentation, to assess the location and conditions, specific to the site, to carry out negotiations with the customer, to analyze understanding of standard requirements. Audit team shall collect necessary information regarding process application areas and location, as well as related legal and regulatory issues and their implementation. Furthermore, audit team shall check if comapany management carries out internal audits and analysis. It shall also determine the degree of management system implementation and readiness for the 2nd stage of audit.

The customer shall receive a report on 1st stage audit, including assessment of management system documentation.

After elimination of all aberrations/ambiguities, 2nd stage audit is taking place; if necessary, we coordinate the timing of 2nd stage audit.

2. 2nd stage audit

Prior to 2nd stage audit, the customer shall receive a plan of 2nd stage audit. At the second stage of audit, audit team shall examine effectiveness of the management system taking into consideration specific requirements of standard, as well as provisions of implemented management system on the basis of exact examples and processes in accordance with trocedure for random checks.

The goal of 2nd stage audit is to demonstrate practical application of their documented procedures. The customer shall recive information about audit result at the final meeting upon completion of audit.

Discrepancies (aberrations/remarks) are documented in reports of aberration/ remark. Audit Manager shall make a decision on classification of aberration or remark. Audit result is recorded in report.

Method for identification of aberrations

Aberration occurs, if standard section or process element as a whole is described and/or implemented not at appropriate level and, as a result, there is a possibility of delivery of defective products/services. The customer should analyze the cause of this discrepancy, make corrections and identify corrective actions. Implementation of corrections and corrective actions must be carried out within max. 3 months (it varies: within max. 6 months after 1st stage audit).

Aberration shall lead to additional audit, i.e re-analysis on site or submission of new documents and certificates. Audit Manager shall determine the amount of additional audit, and only those processes of management system that are related to aberration, shall be subject to repeated audit. Additional audit shall be calculated according to the complexity.

Issuance of certificate or its validity extension may be recommended by Audit Manager only after confirmation of corrective action implementation.

Method for identification of remarks

Remark should be classified as remark, if there is inadequate description or in the process of implementation of one part of standard section or process element.

The customer must analyze the cause of this remark, make corrections and take corrective actions within 2 weeks after the audit. If Audit Manager finds correction and corrective actions sufficient enough to correct the deficiencies, he/she may recommend to issue a certificate or extension of certification validity. Implementation of corrections and corrective actions is being checked and evaluated by Audit Manager no later than on the next scheduled witnness audit.

3. Issuance of certificate and supervision

Issuance of certificate shall be made with approval of certification procedure by the Head of certification body. If the contract is for certification is signed, the customer receives certificates (if necessary in several languages), along with the contract and audit report. Certificate validity period is three years in case if the company carries out annual witness audit.

If during certificate validity period , there are significant changes with regards to application or enterprise data, these changes shall be controlled during the next witness or extension audit. If necessary, both parties shall sign a change to the contract in accordance with changes items.

Witness audits:

During 3-year certificate validity term, witness audit shall be conducted on the annual basis. As part of witness audit, execution of stanfard requirements by certified management system and further, is being randomly checked.

1st witness audit must be conducted within one year starting from the date of the last day of certification audit. Delaying the date for audit execution from the deadline shall lead to suspension of validity (immediately after exceeding due date) or revocation (6 months after due date) of certificate.

2nd witness audit is similarly conducted within 2 years from the date of the last day of certification audit. The suspension of certificate validity shall come in 3 months after due time; certificate revocation shall come within 6 months after due time.

Long before scheduled witness audit, certification body shall inform the customer about upcoming audit and formed (scheduled) audit team. At the same time, the customer is requested to report to certification body about company changes, such as, for example, changes in number of employees or change of application. The customer and audit manager shall coordinate the audit execution period.

In order to prepare for audit, the customer shall receive audit plan with specific standard requirements to be checked. Each witness audits covers not all standard requirements. In the process of identification of aberrations and remarks, one should act similarly as in the process of certification audit. In case of serious aberration, certificate may be revoked. After witness audit, the customer shall receive a report.

Suspension and revocation of certificate:

In case of obvious suspension, certification is temporarily canceled. At this time, certified enterprise is not allowed to advertise certification, including certificate and certification mark. In case of successful implementation of audit, certificate validity period is subject to restoration. Additional rules are specified in the contract for certification.

Cancellation of certificate shall be done by certification body within 6 months after due date of witness audit. After such actions, certification can only be performed over again.

4. Repeated audit

Prior to expiration of certificate validity period and for its extension for further three years within the enterprise, it is necessary to carry out a repeated audit.

Information about changes in management system shall be provided to the customer in advance in writing with relevant documentation enclosed. In the process of repeated audit, performance of the entire management system is being verified. The audit execution is carried out in accordance with paragraph 2 of this document.

Recertification procedure, including its approval by certification body must be completed during current certificate validity period in order to ensure continuous certification.

5. Joint certification

Joint certification is used at enterprises with several production sites/locations with similar production technologies or at parent companies with offices performing functions of subsidiary. In the process of joint certification, random separation of production sites/locations audited on-site to certification and witness audits may occur.

Joint certification is possible if the following conditions are met:

  • Design, implementation and maintenance of management systems, which is uniform for all offices/production sites. This also applies to basic methodological procedures of management system.
  • Monitoring of entire management system under central supervision of parent company management representative. This is professionally competent to give instructions to all offices/production sites.
  • Some parts of headquarters work centrally for all areas: for example, development of products, procedures, procurement, human resources, etc.

Moreover, in accordance with paragraph 1 (assessment of management system documentation) reports of internal audits of all production sites, as well as suggestions for possible corrective actions and their implementation are being assessed.
